Training providers in the German first aid market often face the same issues: participant lists are still filled out by hand and this leads to follow-up questions, reprints, and delays. The manual effort consumes valuable time every day – and appears unprofessional to the outside world.

Mandy Nürnberger reports spending two to three hours a day just creating and sending certificates. The biggest challenge: illegible handwriting. “We had major issues reading names or birthdates.” Follow-up requests, re-issuing certificates, and paper clutter were part of the daily routine. All certificates were sent by post – with corresponding material and postage costs.
Today, everything runs through Virtualbadge.io: Mandy now creates all certificates once a month in just three to four hours. QR codes for participants work almost flawlessly (with a few exceptions on older Android phones). Thanks to automated approvals and grouped email sending, manual post-processing is no longer needed. “No one asks where their certificate is anymore.”

Participants have responded very positively to the digital certificates – even initially skeptical driving schools are now convinced by the QR code-based validation.
Before going digital, certificates were filled out by instructors during course breaks – often with 15–20 participants. “That quickly added up to 20 to 30 minutes per course!” Copies were given to HR, originals to the participants – a classic media break.
Now, each course starts with a QR code: participants scan it, enter their names and emails, and submit it. The instructor checks the list at the end and digitally approves the certificates. Around 5,000 certificates were issued this way in the first year.
